Greenery NYC is a leading botanic design company based in Brooklyn, specializing in the integration of plant life into architecture and human spaces. We are seeking a proactive and detail-oriented Project Coordinator to join our installation and production team. As a pivotal member of our dynamic company, you will collaborate closely with the Project Manager and Sales and Design team to ensure the successful execution of botanic installations. This full-time role demands excellent communication skills, a commitment to responsiveness, and a passion for delivering exceptional customer service.
Responsibilities/Duties
- Project Coordination: Assisting the Project Manager in coordinating project logistics, timelines, and resources to ensure the successful execution of botanic installations. Utilizing Monday.com , planting sheets and production calendar to ensure all materials are received on time. Managing freelance support for planting and staging of materials.
- Quality Control: Ensuring that installations meet Greenery NYC's standards of excellence (e.g. plant health, planter quality). Planting as needed.
- Project Progress Tracking: Utilizing project management tools such as Monday.com , Aspire, and Google Sheets to track project progress, milestones, and providing regular updates to stakeholders.
- Assisting Project Manager in tracking project expenses.
- Communication and Collaboration: Maintaining clear and open communication with internal teams, external partners, and clients, and participating in weekly production meetings to facilitate collaboration and keep projects on track.
- Logistics Coordination: Communicating with 3rd party delivery vendors to schedule and coordinate deliveries of materials to warehouse and project sites. Organizing and categorizing plant, planter and grow materials for efficient project execution.
- Documentation and Record-Keeping: Maintaining an updated database of project statuses, key information, and documentation to ensure accurate and efficient project management.
- These functions are crucial for the successful execution of botanic installations at Greenery NYC, ensuring that projects are delivered on time, within budget, and to the highest standards of quality and client satisfaction.
Qualifications/Requirements
- Minimum of 2 years of professional work experience, preferably in a project coordination or customer service role. Demonstrated ability to provide exceptional customer service and resolve issues efficiently.
- Strong organizational skills with the ability to multitask across multiple projects.
- Excellent emotional intelligence and communication skills.
- Time management ability for self and projects.
- Proactive approach to problem-solving and the ability to articulate issues effectively.
- Proficiency in Google Suite, Monday.com and/or other project management tools.
- Self-motivated with a strong initiative to take on tasks and seek clarification when needed.
- Interest in tropical plants, architecture, and interior design.
- Passion for collaboration and a solution-oriented mindset.
Physical Demands:
- Physical Stamina: The role of Project Coordinator involves significant physical activity, including standing, walking, and lifting heavy objects. Must possess the stamina to work long hours in challenging environments.
- Manual Labor: Occasionally required to perform manual labor tasks such as lifting, carrying, and moving equipment or supplies.
- Adaptability to Environmental Conditions: Work environments may include exposure to humidity, dust, pollen, or allergens.
- Safety Awareness: Diligently adhere to safety protocols and guidelines to prevent accidents, injuries, or health hazards. Maintain awareness of potential risks and hazards in the field, taking proactive measures to mitigate them and ensure the well-being of oneself and team members.
